We enforce strict access controls, ensuring security and confidentiality across on-site and remote teams to maintain the integrity of client data.

We collect only necessary personal data, retain it for defined periods, implement multilevel security, and provide full user control over it.

We safeguard protected health information through end-to-end encryption, secure access protocols, and real-time threat detection.

We secure payment data throughout processing and storage, continuously monitoring our systems to identify and address potential risks.
We handle every billing step from order intake to A/R recovery, keeping documentation complete, claims accurate, and payments moving.
We review referrals, physician orders, and chart notes in one queue and qualify each order before delivery.

Our DME billing experts submit authorizations, track approval status, and rework requests that need another review.
We match equipment to HCPCS codes and modifiers that meet DME MAC requirements.
We track capped rental months and conversion dates to ensure resupply claims stay accurate.

DME suppliers face different payer rules across orthotics, respiratory care, and mobility. We tailor billing workflows to your equipment mix, claim volume, and coverage requirements.
Limited billing capacity can leave signed orders waiting past payer deadlines. Our billing teams work the queue daily, keeping submissions moving as your staffing needs change. Claim turnaround stays consistent through volume and staffing shifts.

Gaps between intake, referring practices, and billing can leave documentation incomplete. Our team assigns ownership from referral through delivery proof and follows each order through submission. Documentation quality stays consistent across the billing process.

Monthly resupply peaks can overwhelm a billing team and slow recurring claims. Our specialists batch recurring orders and verify eligibility before each billing cycle. Resupply claims keep moving on schedule through volume peaks.

Patients need clear answers when equipment charges appear on their statements. Our DME billing agents review the order, coverage, and balance before explaining the charge. Patients receive accurate, consistent answers across every billing interaction.

DME billing is the process of getting durable medical equipment reimbursed by Medicare, Medicaid, and commercial payers. Unlike other medical billing, it uses HCPCS Level II codes rather than CPT and requires a standard written order, medical necessity documentation, and proof of delivery.
DME claims fail Medicare review more often largely because of documentation gaps. In fiscal 2025, 53% of DMEPOS improper payments traced to insufficient documentation. The overall DMEPOS improper payment rate was 24.1%, compared with 6.55% across Medicare fee-for-service, making documentation accuracy a major factor in successful claim payment.
CMS published CMS-6097-N on January 13, 2026, adding 83 HCPCS codes to the Required List effective April 13, 2026. For these items, a documented face-to-face encounter and a written order before delivery are conditions of payment. Missing either requirement can make the claim unpayable.
As of April 13, 2026, 74 HCPCS codes appear on the Medicare Required Prior Authorization List, up from 67. Most of the additions are orthotic L codes. Because prior authorization is a condition of payment for these items, delivering equipment before a decision can turn a recoverable claim into a write-off.
A standard written order must include the beneficiary name or MBI, item description, practitioner name and NPI, order date, and a compliant signature. CMS does not accept signature or date stamps. The order must be in the supplier’s file before the claim goes out.
We do. While the treating practitioner provides the order, the supplier bears the payment consequence when documentation is incomplete. Helpware CX billing agents contact referring offices directly for missing notes, signatures, and dates, then log each attempt to keep the audit trail complete.
Capped rental items follow a recurring monthly billing cycle with the appropriate rental modifier until they reach the cap or convert to a purchase. Each month also requires continued medical need on file. Our team tracks rental months, conversion dates, and modifier changes for each account, keeping recurring claims accurate throughout the rental period.
